Major Donor Cultivation:
Current Donors:
1. Building Relationships

Major donor cultivation includes maintaining relationships with major donors and
making “asks”. Major donors should be contacted via phone or in writing at least two
times per year in addition to the year end “ask”.

A select number of board members and the executive director will be responsible for
these contacts. A list of these major donors will be developed by May 1, 2012 and
assignments of board members will be made by June 1, 2012. The administrative
director will send reminders to board members one week before they should be making
contact with their donors. In this, he will provide resources to board members (talking
points, recent accomplishments, draft letter, etc) to help them make these contacts.

Contacts:
> July - Introductory phone call to donor with an update on VADP’s programs
and activities, and to thank them for their support.
> September - Hand written note to donor with update on activities.
> December (first week) - Phone call to donor to make the “ask”

A brief summary of each contact the board member makes with the major donor will be
sent to the executive director to ensure reporting of cultivation and stewardship
activities into Fundraiser for accurate record keeping.

2. Pot-Luck Cultivation

New Donors:
“Friendraising” House Parties

In order to broaden the base of VADP supporters, both individual donors and major
donors, at least x # “friendraising” house parties will be held throughout the year.
These events are meant to introduce new individuals or those who have long since been
disconnected from VADP to who and what we are today. Hosts will invite 20-60
individuals to each party (depending on capacity) and will provide VADP staff the guest
list prior to sending invitations so that we do not invite current donors or invite
individuals to more than one house party. If donors prefer, VADP staff can create and

mail invitations. These decisions will be made up front with the host when the date is
set.

House parties hosts are not just limited to the individual or couple that is opening up
their home. If other individuals or couples are willing to provide their contact lists for
the party, they will be included on the invitations. Hosts can be VADP supporters or
Board members. VADP staff will coordinate hosting and staff and board members will
attend events to cultivate donors.

Follow up after the event:
- The host should provide names and contact information of participants to
VADP staff within one week of the event.
- Athank you letter from the ED will be sent out within two weeks of the event.
This will not include an “ask” but will provide information on upcoming VADP
activities. These individuals will be included in the next mailing.
