VADP Board Meeting Minutes
November 19, 2009 7:30 - 8:30 PM

Attending: Steve Northup, Betty Gallagher, Lynn Greer, Jon Sheldon, Scott
Vollum, Helena Cobban, Greg Gelburd, Jerry Givens, Hunter Mabry, Beth
Panilaitis

1. November Fund appeal - General Mailing sent out 11/12, major donor
mailing sent out 11/9.

a. Board members will make all calls before Thanksgiving and
send Beth an email or return the spreadsheet to her with notes
on all calls.

b. Beth will let board members know if one of their assigned
donors contributes.

2. Finances - John Grisham funds transferred from BB&T account to the
VOP account. Currently have approximately $27,000 in VADP and
VOP accounts.

a. Beth will continue to be on VADP health insurance
b. VADP is liable for 100% of unemployment benefits

3. Staff transitioning - Matt’s last full time day was 11/13/09 and VADP
needs volunteers to conduct admin work.
a. Scott will provide this opportunity to his students.

4. Action Calendar - Beth (5 minutes)
a. Update on taxes
i. We received a letter on 11/18 from the IRS staring that
they received the letter from our accountant, Frank
Barcalow and it hasn’t yet been resolved because they
haven’t completed all of the research necessary for a
complete response. They will contact us again within 45
days. Beth will provide Jon with information as it
develops.
b. Executive Director Evaluation
i. Beth will send self-evaluation to Jon by 11/20/09 and he
will circulate it to the board for comments and submit to
Joe Szakos by 12/5/09.

5. Update on Board Assignments - Beth (5 minutes)
a. Betty, Jon and Beth will talk about strategy to reach Patricia
Kluge next week.
b. Steve will talk to Dawn, Stuart Siegel’s wife and call Gov. Kaine
immediately after he leaves office to arrange a meeting

6. Any media inquiries about witnesses at executions will be passed
along to Jon. VADP doesn’t attend executions or encourage our
members to attend.

7. Next board meeting is 12/17/09; Beth will circulate a scheduler to set
the next 4 meetings which will continue monthly.
