VADP Board Meeting Minutes
December 15, 2008 - 7:30 p.m.

Attending: Aimee, Steve, Albert, Matt, Beth, Jon

1. Conference call cost - We will keep freeconferencecall.com - no
charge to VADP and only regular long distance charges apply to the
caller

2. BB&T account status - $4,000 in the account; Beth is now on the
account and Steve Rosenfield has been removed.

3. Update on fundraising mailings -

Nov. 7 “intro” mailing - 3,216 sent - 200 returned (6%), we made 120
address changes. Stamps $1,470, $819 printing $841 mailing service;
$4,143 so far, net $1012.

Dec. 5 - 3177 sent - 35 returned (1%), address changes available on 4
of those returned. Stamps - $1,344, printing - $154, no mailing cost
(used volunteers for stuffing/stamping). Total was $1498. Future
mailings will reduce costs by using non-profit class postage.

4, Major Donor appeal - All donors over $250 have received a
personal letter and board members/staff have been assigned to follow
up by phone with these donors. Jon, Steve, and Beth will take
additional assignments of Hunter and Mary’s. Beth will send Jon and
Steve the information on their new assignments.

5. NCADP conference - Beth, Matt, Albert, and Marilyn to attend.

6. Regular meetings - Once a year in person at least, our meeting in
May will make this requirement.

7. Advisory Board updates - Beth sends an email reminder after the
major donor appeals are finished.

8. Firstgiving project with NCADP - Board agreed that this would be
helpful to VADP - staff will keep board updated on progress.

9. Strategic planning meeting -May 1st and 2nd at Richmond Hill.
10. Timeline of goals - This will be addressed at the May strategic

planning meeting: 1000 new members by 2009 year end (30%),
appointment of government study commission, dates for Moratorium.
