MADP Executive Committee Meeting

Minutes - February 6, 2013
Phone Conference

Attendance: Ken Alford, Pat Kozak CSJ, Helen Prejean CSJ, Marianne Race CSJ, Joanna Stott

The purpose of the meeting was to further discuss and plan the partnerships between DePaul University
and MADP regarding the 20" Anniversary of Dead Man Walking and the transfer of the Play Project to
DePaul.

It was agreed that 2 phases were needed:

Phase 1: The 20" Anniversary of Dead Man Walking
Phase 2: The transfer of the Play Project to DePaul University

It was agreed that Phase 1 is most important and where efforts need to be placed
The following points were made:
= Helen will ask that the gift of $36,000 from Tony and LaVette be sent to MADP who.
will send the money to DePaul to be used for the hiring of a Project Manager for Phase 1
This is the only money that MADP will be giving to DePaul for this project.
= Marianne Race will serve as the contact person for MADP regarding Phase 1 and
Suzanne Dumbleton (or her appointee) will be the contact for DePaul
Marianne will contact Suzanne to confirm this
= An Agreement with MADP and DePaul needs to be drawn up including the following points:
- What DePaul will provide as described in Ed Udovic’s memo.
- funding of $36.000 by MADP is a one-time gift
- adescription of The role of Rose Vines in this project
There was some conversation regarding the republishing of the book and when Helen would begin using
the new edition and how those will be purchased. There are many first editions to be used. There was
discussion that Helen use the old edition till they are gone and then introduce the new edition. This was
tabled.

We began conversation around Phase 2 (Play Project being transferred to DePaul University) recognizing
the need to talk with Greg Callahan soon so that he is aware that the Play Project will be transferred to
DePaul sometime this summer (probably by July 1) and his job will no longer exist.

Helen will be going to San Francisco soon and will meet with Greg to explain the situation. Some points
to cover will be suggested by Pat Kozak and added to by Ken Alford so that Helen covers the important
topics. The biggest concerns are the Fetzer money, data from schools that have expressed interest in
the play and the transfer of files

There was considerable conversation regarding the timing of Greg’s departure, the completion of the
Fetzer project, including the money expected from Fetzer and the gap between Greg's leaving and
DePaul’s start with the Play Project. The committee feels obligated to see the Fetzer project to its
completion. It is hoped that Greg will do this. If he does not, we will need to find someone to complete
the project. If there is overlap between the completion of the Fetzer project and the start time of anew
Play Project Director at De Paul, MADP will support Greg until the Fetzer project is completed. In
addition to the Fetzer project concern was expressed that there may be schools signed up to do the Play
who will need some attention. Marianne will speak with Suzannne Dumbleton regarding the gap and
how this will be addressed so follow up with schools does not lapse. Helen mentioned that she will talk
with Rose Vines regarding this as she may have some suggestions.

NEXT STEPS:
Helen
= ask Tony and LaVette to send $36,000 to Helen to deposit in MADP account
= will get back to Pat Kozak after speaking with Greg so that all are aware of what transpired in
San Francisco
= ask Rose Vines for ideas regarding how keep in contact with schools during gap time with Greg’s
departure and DePaul’s ability to begin Play Project management

Marianne
= will speak with Suzanne Dumbleton regarding contact person
= points to be included in Agreement with DePaul (legal advice?)

= will suggest to Helen what points to cover with Greg

= suggestion to Marianne what points should be included in the Agreement with DePaul
= suggest to Pat Kozak what points of discussion Helen should have with Greg
