We have also discussed at length your description of the partnership between DePaul U and
MADP regarding transition of the Play Project from being administered by MADP to being
administered by a Project Manager at DePaul U. We congratulate you on attaining the
commitment from Random House (Vintage) to publish a 20" anniversary edition of Dead Man
Walking, the wonderful forwards by Desmond Tutu, Susan Sarandon and Tim Robbins and
initiating the conversation with DePaul University to establish project managers for both the
20" anniversary commemoration/promotion and for the Play Project. These are marvelous
accomplishments in a very short time.
We are in support of these endeavors and the transition of the Play Project to DePaul.
There are several areas that need clarification and agreement by both parties. We suggest that
an agreement be drawn up regarding Phase One: the Project Manager for the 20" anniversary
celebration. This agreement would include:
“* What DePaul University will provide as described in Fr. Ed Udovic’s memo
“+ Funding provided by MADP. (This funding provided so generously by Tony and LaVette,
$36.000, will come to MADP and be forwarded to DePaul with description of how the
funds are to be used (salary and travel or what else?). This is a onetime gift from tony
and LaVette processed through MADP.
“* A description of the role Rose Vines will play in mentoring the Project Manager.
The transition of the Play Project to DePaul is more complex since it is an existing program
sponsored by the Congregation though MADP. Many details are yet to be worked out. It is our
recommendation that a transition plan be developed and agreed upon by both parties. This
plan would include:
“* a position description of the Project Manager
“+ The process for selecting the Project Manager including the expectation of involvement
by DePaul and MADP, if any.
“ Resources that will be provided by DePaul.
“* Funding that will be provided by MADP during fiscal year 2013-14 with a definition of
how it is to be distributed.
“ A description of the role Rose Vines will play in mentoring the Project Manager.
Whatever commitment or permission is desired from Tim Robbins.
¢ Funds raised by Sr. Helen for this transition would come to MADP and be forwarded to
DePaul.
“+ Funds raised by the Project Manager would go directly to DePaul.
Some other comments, questions and suggestions:
It is our hope that an evaluation would take place after year one to determine the needs
and direction of the Play Project for the following year. MADP would require this as part
of a request for further funding.
What are the expectations for the promotion of the Play in year one (July 1, 2013-June
30, 2014)?
MADP is willing to commit the amount of funding you requested for year one of the Play
Project.
MADP would expect Rose to request reimbursement for travel rather than add a travel
budget to her salary.
We will continue to support Greg Callaghan through completion of the Fetzer Project.
