Minutes of the ENY/ACRL Annual Business Meeting
May 15, 2006
Hamilton College
I. Welcome and Call to Order
President Mary Anne Waltz called the meeting to order at 12:35.
II. Minutes of May 2005 Business Meeting
Mary Anne asked the membership to review the minutes for any changes. As no changes were
presented, Inga Barnello made a motion to accept the minutes. Fran Apollo seconded the
motion. The membership voted to approve the minutes as presented. Mary Anne noted that
awards would be given out after Committee Reports.
III. Committee Reports
Mary Anne noted that the committee reports were included in the program and asked for
questions regarding each committee. No questions were forthcoming regarding the Treasury,
Government Relations, Membership, Communications, or the Program Committee. Inga
Barnello, Past President, spoke about the Election Committee. Fran Apollo will be Vice
President/ President Elect and Program Chair; Liz Strickland will be Treasurer; Suzanne Preate
will be Membership Chair. Inga thanked Barbara Petruzzelli as her assistance during the
election which made the process much easier. She also thanked Sheldon Wein as Treasurer and
John Thomas as Membership Chair for their hard work during their terms of office. Pat Hults
will continue as Communications Chair with Mary Anne Waltz as Past President/ Nominations
Chair and Deborah Bernnard as President.
IV. Reports/ Announcements
A. Inga Barnello presented the Librarian of the Y ear A ward to a librarian who has worked with
collections, databases, is extremely service oriented, has been on the Programming Committee, has been
involved in the financial aspects of the Chapter, has worked with the Newkirk Fund, and is an excellent
communicator. The award this year goes to Susan Zappan. She was presented with a plaque and an
honorarium from ENY /ACRL. Susan gave a brief speech of thanks.
B. The awards continued with Barbara Via representing the Janice Newkirk A ward. Barbara gave a brief
history of the award and noted the change from a recognition award to a scholarship award. This change
was approved by the Board and the benefactor. Barbara also thanked Catherine Dwyer and Ellen McCabe
for their assistance on the Committee and in determining the winners of the scholarships. The Newkirk
Award Committee was able to award 3 scholarships of $3000 each to current library school students
interested in academic librarianship. The winners were Susan Y 00, Syracuse University, School of
Information Studies, Christina Connor, University of Albany, Department of Information Studies, and
Charlotte Widomski, University of Albany, Department of Information Studies. All the students were
given a certificate and a check.
C. Mary Anne noted that the ALA raffle will be awarded at the end of the business meeting. In an effort
to involve library school students in ENY /ACRL, three students attending the conference from library
schools were given their registration checks back. Those students were: Christine Rudecoff, Hamilton
College; Y u-Hui Chen and Christina Connor, University at Albany.
V. New Business
Mary Anne Waltz asked Deborah Bernnard to speak to reducing the number of annual
conferences to 1 per year.
Deborah gave several reasons for this suggestion which came from the Program Committee. It is
hard to find sponsors, vendors, programming, and participants for two conferences per year. It
may be possible to have one larger conference in the spring with smaller, local workshops or
piggyback with larger conferences during the fall. The Chapter may want to consider working
with NYLA. The University of Albany will be sponsoring a Scholarship Conference on October
19, 2006 that the Chapter may want to participate in or sponsor. Alternatives could be small,
local discussions on varying topics during the fall semester. Mary Anne Waltz noted that
ENY/ACRL could collaborate and participate in NYLA to encourage more programming for the
academic librarian. ENY/ACRL would not join NYLA but participate in the conferences on a
professional development level. Susan Zappan noted that a change to the by-laws will need to be
made if one conference a year is to be adopted. Deborah Bernnard noted that many
organizations have gone to one annual meeting per year. Mary Anne Waltz charged the Board
with investigating a change in the bylaws to have one annual meeting per year.
VI. Raffle of ALA Conference registration
Everyone's registrations were combined to chose the following vendor prizes:
Books from Bouska: Pamela Flinton, Barbara Petruzzelli
Real Life Marketing in Libraries: J onathan Lathey, Kathryn J ohns- Masten
Local Gifts: Emily Hutton-Huges, book; Karen Ingeman, bear;
ALA conference registration: Michelle Parry
VI. Raffle
The meeting was adjourned at 12:55 PM.
Respectfully submitted,
Lorraine Melita
President’s Report
2007
This year we have pursued several new initiatives. Our major effort consisted of producing one
fantastic program, “Who's Driving the Technology Bus?” However, we also co- sponsored the
Symposium on Scholarly Publishing at the University at Albany in October and the program
planning committee presented a workshop at the New York Library Association (NYLA)
conference in November.
We also joined NYLA as an affiliate organization member. This one year membership entitles us
to.. legislative and advocacy information. The board needs to decide whether or not to renew
this membership.
The program planning committee has started the process of creating procedures and policies for
the presentation of regional brown bag meetings each Fall. In Fall, 2007 there will be at least
on regional program at Sienna College.
The membership committee has created a new recruitment brochure. This promises to be an
excellent tool for promoting and recruiting new members to our organization.
Finally I wish to thank all of the members of the Board of Trustees; Mary Anne Waltz, Past
President/ Nominating Committee Chair, Fran Apollo, Vice President/ Program Planning
Committee Chair, Liz Strickland, Treasurer, Lorraine Melita, Secretary; Suzanne Preate,
Membership Chair; Pat Hults, Communications Chair and Gretchen Lieb, Government
Relations Chair. The work of the organization is accomplished in the committees headed by
these able people. Please consider volunteering for one of these committees or one of the
chairships. It’s a great way to meet intelligent and energetic librarians throughout our region.

Annual Report
2007
The following slate of new Executive Board members was submitted to the
membership:
Vice President/ President Elect/ Program Chair: Susan Zappen, Skidmore College
Secretary: J ane Kessler, University ar Albany
Communications Chair: Patricia Hults, Rensselaer Polyechnic Institute
Congratulations to all, and thank you for agreeing to serve ENY/ ACRL.
I want to thank Inga Barnello and members of the Executive Board for
recommending potential candidates. I would hope that in future
elections, we can encourage more members to get involved with the
organization by running for positions on the Executive Board. Next year
we will vote for the positions of Vice President; Treasurer, and
Membership Chair. Please consider the networking and professional
development benefits of serving on one of the standing committees or
running for these offices.
There were no nominations for Librarian of the Year for this year.
Please visit the website for more information on the award, its criteria
and the process for nominating one of your colleagues.
Respectfully submitted
Mary Anne Waltz.

In the Fall 2006 Semester, the Committee collaborated with the University at Albany in co-
sponsoring its Eighth Annual Syposium on Scholarly Communication on October 24. The
Program entitled “Converting and Preserving the Scholarly Record” was well attended and well
received by attendees.
We collaborated for the first time with NYLA at their Fall meeting, November 1-4 at Saratoga
Springs. Uma Sharma and Kathryn J ohns-Masten presented The Future of Libraries, Musings
from ENY/ACRL on Saturday morning at 8a.m.
Thank you, Uma and Kathryn, for that initiative! You are troopers!!
The program committee, having met in person, via conference call, blog and email, have worked
very hard to bring us the May 21 conference “Who’s Driving the Technology Bus?” The
focus of this conference will be the ever growing, ever changing field of products/ innovations
that impact libraries, library employees and library users.
Meredith G. Farkas, Distance Learning Librarian, Norwich University Author of Social Software
in Libraries and the blog, Information Wants to Be Free, will be the keynote speaker to start off
our day on May 21, which will include 4 “breakout” sessions in the morning and an afternoon
panel discussion. We expect at least 7 poster sessions and a number of vendors to round out the
day. Presenters are among the finest in our region.
We have done some preliminary work towards the Fall 2007 Brown Bag Regional Meetings.
Kathryn J ohns-Masten is going to host one of our meetings at Siena College. The theme/s of the
meetings this Fall will be Marketing/ Outreach/ Town & Gown Relationships. We look forward
to 2 or 3 other campuses also hosting meetings on these topics this Fall. Who knew the price of
gasoline would make us look forward thinking in reducing travel for our members? Well, we are
forward thinking; that’s what we've come to expect from ENYACRL members!
ENY/ACRL Membership Committee Report
2007 Spring Conference
The 2006/07 Membership Committee is comprised of:
e Mary Lynn Bensen, SUNY Oneonta
Amy Hillick, Orange County Community College
Kathleen Horton, SUNY Canton.
Jane Kessler, University at Albany
Mary Mullin, Herkimer County Community College
Suzanne Preate, Chair, Syracuse University
John Thomas, J efferson Community College
As of May 11, 2007 ENY/ACRL has 181 paid members representing 58 institutions/ companies.
In 2007, we had 28 new members (15%), 74 national ACRL members (41%) and 27 institutional
liaisons (15%).
In my first year as Membership Chair, I thought it best not to modify a successful formula. To
that end, I followed the renewal approach recently instituted by the previous Chair, J ohn
Thomas. I mailed renewal forms to each institutional liaison and they distributed the forms to
their colleagues. The personal touch seemed to positively affect the response rate. For
institutions without liaisons, I mailed forms directly to individuals. If you are interested in
serving ENY/ACRL in this capacity, please contact me! The liaison responsibilities are very
manageable and it is a great way to become involved. As a liaison, you would:
1. Serve as contact person for ENY/ ACRL and distribute mailings
2. Bean active recruiter for ENY/ACRL and encourage membership renewals
3. Promote the conferences
5. Report member activities to ENY/ACRL Communications Chair for inclusion
in the online newsletter (three times per year)
6. Review directory entries for members of your institution for accuracy and
report corrections to the Membership Chairperson
7. Bea participant in the ENY/ACRL Liaison listserv
New this year - on your mailing label, we are now including the last year in which you paid dues
and were considered a member in good standing. With so many professional organizations
operating on differing renewal schedules, it is easy to lose track of expiring memberships. We
hope this is a helpful change. You will also see a new brochure promoting membership in our
organization. It was created with J ohn Thomas and Communications Chair, Patricia Hults.
Please consider distributing them at your library.
Continued areas of focus for the upcoming year include liaison recruitment, improved
communication with existing liaisons through wiki or other technology and the creation of
additional promotional materials.
I would like to thank the Membership Committee for continuing to participate during a
transitional year, the liaisons for their support during the renewal process, and especially J ohn
Thomas for his willingness to share his expertise to guide me in this new role. I learned quite a
bit and plan to use those lessons to make year two even more beneficial for the organization and
the members who make up ENY/ ACRL.
