The meeting was called to order at 1:01 p.m., by Ali Larsen, Interim President
Jocelyn Ireland moved to approve the minutes of the May 23, 2016 Business Meeting Minutes
(attached). Pat Markley seconded. The minutes were approved.
The 2016-2017 Annual Reports were distributed to the membership at the meeting and are attached
below.
Election Results
Tarida Anantachai announced the results of the annual Board elections that were recently held:
e Debbie Krahmer (Colgate University) is Vice President/President-elect/Program Chair for 2017-
2018.
e Kristen Strohmeyer (Hamilton College) is the Communications Chair.
e Camille Chesley (University at Albany) is the Government Relations Chair.
Professional Development Grants Recipients
The Chapter provides a stipend up to $300 to attend a library professional development activity of the
applicant’s choice. The opportunity to apply for a stipend is limited to current ENY/ACRL members.
Tarida Anantachai reported that the Chapter awarded the following Professional Development Awards
during the year:
e Jennifer Fairall (Siena College), 2016 — For attendance at the 2017 ALCTS Exchange
e Jane Kessler (University at Albany), 2016 — For attendance at the 2016 Charleston Conference

2017-2018 Annual Reports
Presidents Report
Spring has finally arrived and with that comes our annual conference! It is very exciting to be at Colgate
to listen, learn and engage with this year’s theme “Data, Justice, and Libraries”. It is always an exciting
day for me as it represents the culmination of our year and eager anticipation for the next.
This year ENY/ACRL held our traditional Brown Bag meetings in the fall. The theme was OERs and great
thanks is extended to Binghamton University (Stephanie Hess), Colgate University (Debbie Krahmer) and
Utica College (Lisa Rogers) for hosting and leading the discussions! Brown bags are a great way to get
colleagues together to discuss and network for little cost and time. Keep an eye out for a call this fall to
host.
Other ongoing activities include the newsletter that is published in the fall and spring, chapter
representation at Chapters Council meetings held at ALA and ALA Wid-winter, listserv communication of
pertinent information, and Professional Development Grants.
New initiatives for this year include an attempt to work in collaboration with other similar groups across
the state to support our mutual interests. | met with Jeremy Johannsen (NYLA Executive Director) and
Tim Burke (NYLA President) to discuss ways in which potential collaboration could exist amongst groups.
The discussion was productive and ENY/ACRL is assisting with the planning of The Library is Open:
Academic Libraries Conference that will be held October 11-12 in Ithaca, NY. Registration is now open.
We also successfully completed another election cycle. My thanks to all who ran and my
congratulations to our new board members: Anne Rauh (Syracuse University) as Vice
President/President-elect/Program Chair, Towanda Mathurin (SUNY Westchester Community College)
as Treasurer, Mary Van Ullen (University at Albany) as Secretary and Esta Tovstiadi (SUNY Potsdam) as
Membership Chair. Additionally, our vote to split the VP/President-elect/Program Chair into
VP/President-elect and a Programming Chair passed and will take effect with the next election cycle.
Thank you for voting and please consider running next year for an open board position. We need you!
As another academic year comes to a close, | wish to thank all of the ENY/ACRL members for their
dedication and support of the organization. | also want to extend a big thank you to the board members
who are make the organization run. We have had a productive year and | am excited to hand off the
reigns to Debbie Krahmer who | know will do a fantastic job leading us next year.

Past President’s Report
The position of Past-President was technically vacant this year, so the duties have been filled by the
President. This past year ENY/ACRL awarded Professional Development Grants to the following: Joshua
Finnell (Colgate University) for ALA Mid-Winter, Kelsey Milner (Siena College) for the NYLA Annual
Conference, Emily Mock (University at Albany) for the Charleston Conference, Anne Rauh (Syracuse
University) for the American Society for Engineering Education Conference, and Yu-Hui Chen (University
at Albany) for the Computers in Libraries Annual Conference. You will have seen and will see their
reflection pieces in our newsletter. Congratulations to all of the recipients and remember Grants are
available to current ENY/ACRL members! See the website for more information and to apply. My thanks
to the selection committee: Kelly Delevan (Syracuse University), Julia Glauberman (Binghamton
University) and Jen Park (Mount St. Mary’s College) who were timely, professional and fun to work with.
Additionally, our elections were a success. Results were listed in the President’s Report but at this time |
would like to acknowledge and thank those board members who are completing their term of service.
Thank you to our outgoing Membership Chair, Patrick Williams (Syracuse University) and to our outgoing
Treasurer, Dung-Lan Chen (Skidmore College). Mary Van Ullen was re-elected as Secretary so are
fortunate to have her another term. Thank you all for your service, hard work and dedication.

Program Chair’s Report
Following the model of previous years, the Programming Committee held a day of brown bags across 3
ENY/ACRL libraries during Open Access week (October 24" & Oct 26"). The topic was focused on Open
Education Resources and the library, with an article from EDUCAUSE to serve as the center of the
discussion. Locations included Utica College (Lisa Rogers as host), Binghamton University (Stephanie Hess
as host), and Colgate University (Debbie Krahmer as host). Thank you to the hosting libraries and
librarians!
Planning for the spring conference took up the committee’s time. We have 3 sessions with 4 speakers,
focused on the theme of data, libraries, and social justice. The conference is taking place on May 22" at
Colgate University. Special thanks go to Lynne Kvinnesland, who has served ably in the position of Local
Arrangements Chair, and Wendy Falls, Colgate Libraries’ Administrative Assistant who is responsible for
the success of the conference. Our speakers are Yasmeen Shorish, Melissa Morrone, Josh Finnell, and
Andy Pattison. Katherine Moss handled vendor relations. The Poster Committee involved Anne Rauh
(chair), Kabel Stanwicks, and Jocelyn Ireland. Registration desk volunteers are Lisa Rogers and Jean-Paul
Orgeron. Conference guides include Stephanie Hess and Kate Wantuch. The presentation timekeeper is
Jocelyn Ireland. Local tour guides are Steve Black and Peter Tagtmeyer.
Date and location of the 2019 Spring Conference is Wednesday May 22", 2019 at Mount Saint Mary
College.
The local arrangements handbook has been updated with some basic cleanup of information and added
vendor support information.

Secretary’s Report
| have attended the in-person and virtual Board Meetings during the year and have recorded the
minutes. Approved minutes have been distributed for archiving and posting to the web site. The
Annual Report and Conference Brochure have been prepared for the Chapter’s Annual Business
Meeting. | am looking forward to serving another term on the Board.

Treasurer’s Report
ENY/ACRL continues to be in a relatively healthy position financial wise thanks to the strong vendor
support we received for 2017 conference. A big heartfelt thanks to all the vendor sponsors for their
generosity and continuous support to enhance the chapter’s capability in providing vibrant and
professional programs/events for our members. Speaking of professional development, ENY/ACRL has
awarded 4 professional development grants ($300 each) since 2017 conference. Please check out
ENY/ACRL website under Chapter Information “Awards” for more information on eligibility and how to
apply if interested. As of May 18, 2018, ENY/ACRL has available funds $23,956.95 (bank account &
PayPal combined).
For 2017 Annual Conference held at Siena College, Loudonville, NY --
ENY/ACRL received 60 paid registrations for a total $2,860.00 plus $5,600.00 from vendor support
Total conference income: $8,460.00
Total conference expenses: $6,877.22
Net Gain: $1,587.78

Communications Chair’s Report
My hearty thanks to everyone who contributed news, notes form the field, reports, and advice over the
past year! Fall and spring newsletters were distributed this past year to the ENY/ACRL membership. The
website was also continually updated with chapter information and documents. Our social media
presence on Facebook and Twitter pushed both chapter and ACRL National information to our
members. Please remember to “follow” us!

Government Relations Chair’s Report

Membership Chair’s Report
As of May 16, 2018, ENY/ACRL has 124 active members representing over 50 universities, colleges,
institutions, companies, regional library councils, and other organizations. Though overall membership is
down (by about 15 members) relative to this point in 2017, we have added new members in the past
year, including many using the conference registration new membership option. A final count of new
members will be added to the report after the conclusion of the Spring Conference.
In order to keep our forum mailing list up-to-date, | recently cleared out all email addresses from
subscribers who have not been active in the past three membership years—many of these addresses
were old, or from colleagues that have moved on to other organizations. But please remember to invite
new colleagues to join ENY/ACRL as they begin at your institutions, and please forward information to
your colleagues—some of them may not be signed up.
Our membership year follows the academic calendar: September 1 — August 31. If your membership
expires on August 31, 2018 (those who renewed in our last membership push late last year), you will
receive an email renewal request toward the end of the summer. Membership renewal and secure
payment options are available online. Once your payment arrives via PayPal, personal check or
institutional check, you will receive an email confirmation.
If you serve as an institutional liaison (IL) for your organization, summer is a perfect time to talk with
your colleagues about membership. Also, please send me information about retiring members from
your institutions as well as new members. We’d love to hear about these folks so we can recognize them
at future events.
We welcome feedback of all kinds, including ways you would like to see ENY/ACRL support our
membership. Please contact me your incoming Membership Chair Esta Tovstiadi (SUNY Potsdam) if you
are interested in serving as an IL or if you have ideas or suggestions. You can expect to receive
information in August with news of membership renewals.
On behalf of the ENY/ACRL board, I’d like to thank you for your membership, your collegiality, and all
the work that you to do keep our organization thriving. Please keep in mind the continued growth of our
organization as you meet and collaborate with new colleagues in the coming year.
In concluding my two terms as ENY/ACRL Membership Chair | am delighted to see the amazing activities
undertaken by our members and have very much enjoyed my collaborations with the membership and
with the Executive Board.

Archivist’s Report
New additions to the ENY/ACRL archives are stored in the Board’s Dropbox account. Print archival
materials are stored in bankers boxes at the NYLA Offices in Guilderland, NY. The digitization and deposit
of selected print archives into the Dropbox account was completed in April/May.
