Minutes of the Annual Business Meeting
May 24, 2010

The business meeting was called to order at 12:55 p.m. by Suzanne Turner.
Approval of May 18, 2009 Business Meeting Minutes
Joanne Schneider made a motion to approve the minutes of the May 18, 2009 business meeting; Francesca
Livermore seconded. The minutes were approved.
Election Results
Suzanne Turner introduced and thanked the board members, including the incoming President, Francesca
Livermore, and shared the results of the recent election. The number of ballots distributed was 159; 97 were
received. 61% of the membership voted in this year’s election. Vice President/President Elect/Program Chair
is John Cosgrove from Skidmore. The other board members will continue in their roles for the next year.
Suzanne Turner acknowledged members of the program planning committee for filling in during the emergency
situation and acknowledge Brenda Hazard’s contributions.
ENY/ACRL Librarian of the Year Award
Suzanne Turner announced the winner of the ENY/ACRL Librarian of the Year Award: Inga Barnello, LeMoyne
College, for her past work as ENY/ACRL President, volunteer activity, and numerous scholarly publications.
Call for Old Business
There was none from the membership.
Call for New Business
Suzanne turned the meeting over to Francesca Livermore who expressed her support for those who worked
with her to plan the conference.
Next year’s conference will be held at Skidmore College.
Raffle Drawing
Peter Tagtmeyer wona $15 gift certificate to the Colgate Book Store.
Kelly Delevan won a NYLINK mug and flash drive.
Andy Krzystyniak won a reusable grocery bag.
Jenna Mayotte won 4 books donated by Busca.

President's Annual Report 2011
Over the past few years, I’ve felt welcomed by the ENY/ACRL community, first as a member of the Programming
Committee, then Local Arrangements Chair, and now as President. This past year, I’ve enjoyed working closely
with the board via email, phone, and face-to-face meetings. We met at Colgate on May 24 and then again on
August 17, and by conference call on February 11. We were primarily focused on supporting John and the
Programming Committee on the fall brown bags and the spring conference. Mid-year Suzanne Turner stepped
down from the board and her role as Past-President when she retired from SUNY Albany. Although we were
thrilled for her, we were sad to lose her expertise and are thankful to have Susan Zappen who was willing to
step in and finish out the year for Suzanne. This willingness to be flexible and to pitch in is truly representative
of the members of ENY/ACRL.
As your president, I attended ALA last summer and ACRL this spring. Both meetings seemed to have a focus on
value and impact and how we might provide, and prove, both to our patrons. In these tight financial times, it’s
no surprise really that this is our emphasis. At ACRL, Char Booth spoke about the embedded librarian and the
importance of forming connections with your constituency. On that front, our upcoming conference on reaching
outside of the library is timely. I am looking forward to it. We’ve got a wonderful line-up, particularly I think the
lightening rounds session has great potential as a format for us. Of course, we must also forge connections with
our colleagues. It is important that we inform and support each other as we do this work of proving impact to
our patrons. | think that librarians are naturally a collaborative bunch. That’s definitely been my experience in
ENY/ACRL. It’s really more of a matter of making time (increasingly tough to come by). If you have suggestions
about ways beyond the brown bags and the conference that ENY/ACRL could foster connections across our
institutions, I hope you will share them with the board.
I'd highly recommend serving ENY/ACRL in some capacity. It’s a rewarding way to connect with colleagues
from across the region. It has been a pleasure to serve as your president this year.

Past President’s Annual Report 2011
When Suzanne Turner retired from the University at Albany in December 2010, she also resigned as Past
President from the ENY/ACRL Board. I was happy to return to the Board as Interim Vice President to fill out her
term. I greatly appreciate Suzanne’s work in bringing together such a fine slate of candidates for the Board, in
addition to her contributions as Vice President/Program Chair and ENY/ACRL President.
Suzanne and | used the ENY/ACRL Forum, email, and the telephone to generate interest among members in
serving on the Board. I finished compiling a slate of candidates and mailed out the ballots in early March.
Although our ballot this year had only one candidate running for each position, I received 62% or 81 returned
ballots out of the 130 ballots sent out. I consider the high rate of return of an uncontested ballot as an
affirmation of your respect and appreciation for the competence and talent of those willing to serve. | am happy
to report that Tasha Cooper (Syracuse University) is the new Vice President/Program Chair, Kathryn Johns-
Masten (SUNY Oswego) is the new Secretary, Kathryn Frederick (Skidmore College) is the new Communications
Chair and Bill Walker has been elected to another term as Government Relations Chair.
As Interim Past President, I requested nominations for the Librarian of the Year Award from the membership
via the ENY/ACRL Forum. I asked Sean Maloney (Siena College) and Jane Subramanian (SUNY Potsdam) to
serve on the LOY Award Committee. I am pleased to announce that Natasha Cooper, Bibliographer for
Education, Information Studies, and Public Communications and Librarian for Information Studies at Syracuse
University, is the Eastern New York ACRL Chapter 2011 Librarian of the Year.

Vice President/Program Chair’s Annual Report 2011
Our October 22, 2010 Brown Bag Lunches drew 41 librarians and students from 13 different institutions
together at three different locations: SUNY Institute of Technology’s Cayan Library, SUNY Potsdam’s Crumb
Library, and University at Albany's Science Library. Five other institutions also volunteered to host, including
three schools who have never hosted a Brown Bag before: Jefferson Community College, SUNY ESF, and Paul
Smith’s. I’ll pass those names on the next Program Chair for consideration for hosting Brown Bags this fall,
2011.
The Board agreed to co-sponsor an event during Open Access Week this fall 2011 with the University at Albany
Libraries and College of Information Studies and Computing, after Deborah Bernard approached me with the
idea. The event might be part of or double as a Brown Bag event. Irina Holden, U Albany, from the Program
Committee graciously agreed to represent ENY/ACRL on the planning committee.
Our annual conference, "The Librarian Has Left the Building! New Pathways for Connecting Librarians, Users
and Resources," is scheduled for Monday, May 23, 2011 at Skidmore College, Saratoga Springs. We have high
hopes that the hard work of the Program Planning and Local Arrangements Committees will result ina
productive, interesting, and memorable conference.

Annual Report on Government Relations 2011
Once again my main attention as Government Relations Chair has been two-fold: keeping members informed of
the ACRL’s Legislative Agenda on a national level, and keeping ENY/ACRL a full and participating member of
NYSHEI on our local level.
The first part I have done mainly through both emails to the membership mailing list as new topics and actions
come up, and also through articles in the newsletter setting forth the ACRL’s agenda, the background on the
agenda items, and some explanation of why our parent organization feels these are topics we need to keep an
eye on.
On a state level, ENY/ACRL has been active in NYSHEI. I represented ENY/ACRL at the annual meeting NYSHEI
held last June 8 at Skidmore College and I met with the other member organizations again at a NYSEI
Conference in Albany on December 9%,
Following that meeting ENY/ACRL’s Board agreed with other NYSHEI members to sign a letter to the Regents
urging them to be “mindful of the immense contributions, vitality, and importance of New York’s academic and
research libraries.”
As has been true for the past several years, the response to our economic conditions has been hard on libraries.
I have attempted to bring to our members as much information as possible about governmental actions that are
having or could have major impact upon us. I look forward to continuing to do this.

Treasurer's Report to Membership 2011
During this economic recession, ENY/ACRL continues to be in excellent financial condition.
Our checking account balance as of April 30, 2011 was $18,709.87.
Spring Conference 2010, Colgate University, Hamilton, NY
ENY/ACRL received 74 paid registrations and $1,700 in vendor support.
Total Conference Income: $4,290.00
Total Conference Expenses: $3,503.30
Net Gain: $ 786.70
Based on our healthy financial status, ENY/ACRL will be able to continue providing vibrant programs for our
members. We continue to subsidize our conferences to keep the direct cost to membership as low as possible.
It has been a great pleasure to serve as the Treasurer. I'd like to acknowledge Dung-Lan Chen for the efforts she
made in seeking vendor support for the 2010 spring conference.

Communications Chair’s Annual Report 2011
The chapter newsletter published two issues this year. The fall issue reported communications from board
members and ‘notes from the field’ from our members. The spring issue, in addition to board member reports
and ‘notes from the field’, published a contributed article echoing the spring conference theme of getting
beyond the walls of the library.
The chapter website has continued to keep up with updates and links reflecting our chapter activities. Website
and discussion list management was maintained, in cooperation with the Membership committee who updated
the email addresses of members and chapter liaisons.
Ihave been grateful for the creativity of board and chapter members, in offering ideas and articles for the
newsletter and the website.

Membership Committee Chair’s Annual Report 2011
As of May 17, 2011, ENY/ACRL has one hundred ninety-seven current members representing fifty-five
institutions, six companies and two library graduate programs. As a result of our dual conference registration +
membership option, we added twenty-six new members and processed thirty-two renewals. I am pleased to
see so many new and returning colleagues.
In 2010, the Executive Board collaborated on a member survey on the topic of the “ideal” membership year. We
used the survey to determine if a preference existed for a different membership year structure. We proposed
three options: the academic calendar (September through August), the calendar year (January through
December), or some other time period (e.g., conference to conference). We hypothesized that member renewals
might increase or remain more consistent if we made an adjustment. The survey gathered 77 responses with
very useful comments . Ultimately, there was no consensus on an alternate preference and therefore, we chose
to keep the membership year on the academic calendar. We will revisit the issue as needed to best serve our
members. If your membership expires in 2011, you will receive an email reminder in the late summer.
The Membership Committee was on hiatus during 2010/2011. I plan to re-institute the committee for the
2011/2012 membership year and to rejuvenate the institutional liaison (IL) program - with your help. Please
contact me at smpreate@syr.edu if you have suggestions for ways the ILs could further support our
organization or if you are interested in participating and shaping our updated approach. The ILs currently
serve our organization in the following valuable ways. ILs:
1. Serve as institutional contact person for ENY/ACRL,; distribute, communicate and/or follow-up on
mailings (e.g., renewals, ballots)
2. Actively recruit new members for ENY/ACRL and encourage membership renewals
3. Promote the annual conference and other events
5. Submit member activities to the Communications Chair for our online newsletter
6. Review Membership Directory entries for accuracy and report corrections to the Chair
7. Participate in the ENY/ACRL Liaison listserv
I extend a sincere thank you to everyone who contributes to the ongoing “care and feeding” of the ENY/ACRL
membership, including those who have encouraged our growth through the consistent provision of quality
programming and resources year after year.
